Privacy Policy — KingScan Social Hub

This Privacy Policy applies specifically to the KingScan Social Hub web application available at https://crm.kingscan-qr.com, including its TikTok, Meta and X integrations.
1. Who we are
KingScan Social Hub is a web application operated by Cofftea Agencies Ltd, a company legally registered in Kenya. It helps authorized KingScan team members plan, approve, schedule and publish social content and manage related customer and event operations. 2. Information we collect
We may process workspace account details such as name and email; connected social account identifiers, display name and avatar; content selected for publishing, captions and media; publishing status and provider responses; customer conversation and event-operation records entered into the workspace; technical, security and audit logs; and OAuth access and refresh tokens supplied by a platform after the user grants permission. We do not request or store passwords for TikTok, X or any connected social platform.
3. Connected-platform data and permissions
When a user chooses to connect TikTok, X or another supported platform, that platform presents its own authorization screen. KingScan Social Hub requests only the permissions shown there, which may include basic profile information and permission to upload or publish content. Basic profile information is used to show and verify the allowlisted account. Content permissions are used only when an authorized workspace user selects content and requests an approved upload or publication. We do not sell connected-platform data or use it for unrelated advertising profiles.
4. How we use information
We use information to authenticate workspace users; connect the social account selected by the user; prepare, approve, schedule and publish requested content; display publishing results; operate customer and event workflows; provide support; protect the service; prevent abuse and duplicate publication; comply with platform rules; and maintain an accountable audit trail.
5. Legal grounds and user control
We process connected-platform data at the user's request and with the authorization granted through the relevant platform. Workspace and operational data is processed to provide the requested service and protect the service. A user may decline authorization, revoke access in TikTok or the relevant platform settings, or ask KingScan Social Hub to disconnect the account.
6. Sharing and service providers
We share information only as needed to operate the service: with the connected platform when a user requests an action; with infrastructure, database, storage and security providers acting for us; and with authorities when legally required. Service providers receive only the data needed for their function. We do not sell personal information.
7. Storage, security and international processing
Access tokens are kept in protected server-side secret storage and are not exposed in the browser. We use encrypted transport, role-based access, workspace isolation, approval controls, rate limits and audit logs. Infrastructure providers may process data in countries different from the user's country, subject to their safeguards and applicable requirements. No online service can guarantee absolute security.
8. Retention
Connected-account tokens are retained while the account remains connected or until they expire, are revoked or deletion is requested. Publishing records, audit logs and operational records are retained for the period reasonably needed to provide, secure and document the service, and longer only when required for legitimate operational or legal obligations. Data that is no longer needed is deleted or de-identified.
9. Access, correction and deletion
Users may request access, correction, disconnection or deletion by emailing info@kingscan-qr.com from an address associated with the workspace. We may verify identity and authority before acting. Users can also revoke access from TikTok, X or the relevant platform settings. Our public data-deletion instructions are available at /data-deletion.
10. Children
KingScan Social Hub is a business operations service and is not directed to children. Workspace access is limited to authorized business users. We do not knowingly collect children's personal information through connected-platform integrations.
11. Changes and contact
